Gun store inventory software built for FFLs

AIM tracks every firearm by serial number and everything else by quantity, in the same system that runs your counter and your bound book. When you receive a firearm, the A&D entry opens already filled in, so your shelf and your book match from the moment the box is opened.

General retail inventory software counts boxes. A gun store needs to know which serial number is on which shelf, what you paid for it, and where it went when it left. That is the job AIM’s inventory is built for.

Firearms by serial number, everything else by quantity

Every item in AIM is set up as one of two types. Serialized items track each serial number individually, with its own cost and selling price. Those are usually your firearms. Accessory items track bulk quantities and average your cost across what you have on hand and what you receive. Those cover ammunition, optics, holsters, and the rest of your non-firearm stock.

Both types live in one inventory, sell at the same counter, and show up in the same reports. AIM keeps the history of each item for the life of your business.

Receiving that fills in your bound book

You receive stock by scanning the barcode on the package, typing the SKU, or searching your inventory. For a serialized item, you scan or enter each serial number as you go.

When you save a firearm that requires a bound book entry, AIM opens the A&D form with the vendor and firearm information already filled in. You review it, save it, and the firearm goes into your inventory and your A&D book in the same step. If you use FastBound, the same form pushes the entry to FastBound instead.

That matters because the most-cited violation in ATF inspections is an acquisition and disposition record that is not accurate, complete, or timely. Read more about the bound book mistake at the top of the ATF’s list.

Add new products without retyping them

With Supplier Connections, you enter a UPC and AIM searches your connected distributors at once, including Sports South, RSR Group, Lipsey’s, and Davidson’s. You see product details, pricing, and cost side by side. Choose the listing you want, and AIM can fill in the manufacturer, model, caliber, category, vendor, cost, and retail price for the new inventory record.

Order with live distributor pricing

When a customer asks about a special order or a shipment shows up at the back door, you scan the UPC and AIM returns live price, cost, and quantity from Sports South, RSR Group, and Lipsey’s. If the item is not in your system yet, you can create it and receive it in the same workflow.

AIM also stores the vendor’s own item number alongside your SKU, because each distributor may number the same product differently. Normal cost and last cost update as you receive, so you can see what each vendor charged you the last time you bought.

Buy smarter with reorder points

Set a minimum and maximum on any item. When the quantity you have available to sell drops below the minimum, AIM adds the item to a reorder report and suggests how many to order to get back to your maximum. You reorder what is selling instead of guessing from the shelf.

Protect your margin at the counter

AIM can calculate a selling price from the margin you want over cost or from a percentage of MSRP. You can also set a minimum price on any item. If someone at the counter rings it up below that price, AIM requires permission to override before the sale goes through.

Trade-ins, consignments, and used firearms

Not everything comes from a distributor. AIM has its own receiving workflows for trade-ins and consignments, so used firearms get the same serial-level tracking and bound book entry as new stock. Each consignment item carries the consignor’s percentage, cash payout terms, and an expiration date, so the deal is on record from the day it comes in.

One inventory across every store

If you run more than one location, each item carries pricing for every store, set individually. You manage one inventory and one set of records instead of several disconnected ones.

Common questions

Does AIM track firearms by serial number?

Yes. Firearms are set up as serialized items, so each serial number is its own record with its own cost and selling price.

Does receiving a firearm update the bound book?

Yes. When you receive a firearm that requires an A&D entry, AIM opens the entry with the vendor and firearm details already filled in. Saving it adds the firearm to your inventory and your A&D book together.

Which distributors does AIM connect to?

Supplier Connections searches distributors including Sports South, RSR Group, Lipsey’s, and Davidson’s, and returns live price, cost, and quantity from Sports South, RSR Group, and Lipsey’s when you order or receive.

Does AIM work with FastBound?

Yes. If you use FastBound for your electronic bound book, AIM pushes the A&D entry to FastBound when you receive a firearm.

Can I move my existing inventory into AIM?

Yes. Our team helps you bring over your inventory, customers, and history when you switch.
